What personal data we collect and why we collect it

Feedback form

When visitors leave comments on the site we collect the data shown in the comments form (name of the resource, quality rate and comments) as well as the visitor’s IP address to help spam detection.

Registration and Request form

When you submit the form to join our network or to request a translation, we collect the answers given in the form as well as your email address, name and date of submission. The data is stored in our server and exported as a csv file for the purpose of the Astronomy Translation Network only.

Who we share your data with

The data collected on our website through the registration form is shared only with the language coordinators of our existing language groups as well as with the management team of the IAU Office for Astronomy Outreach, for the purposes of the Astronomy Translation Network project.

The data collected through the request form is shared with the other employees of the IAU-OAO working on the Astronomy Translation Network, for the purposes of the Astronomy Translation Network project.

Plugins
translation.iau.org uses plugins to embed forms in our website: NINJAForms and Form Maker.
The data collected through their forms is shared with them. We made sure that the companies providing the plugins we use comply both with adequate private policies in terms of data and GDPR rules.

Form Maker (product of Webdorado): Form Maker plugin does not collect and store any data on Web-Dorado’s end. All data submitted by our website visitors is stored in our website database (https://wordpress.org/plugins/form-maker/). 

translation.iau.org does not use those third-party websites or services to collect personal information from individuals. Any personal information collected by the third-party website will not be stored or transmitted by us.
translation.iau.org has no control over or access to specific login information or any other sensitive personal information provided to third-party websites.

How long we retain your data

If you leave feedback, the data is retained indefinitely. This is so we can use it to improve our website and our project to enhance our visitor’s experience.

For users that register in our platform, we also store the personal information they provide indefinitely, for follow-up and analysis purposes.

If you wish to resign as a volunteer and have your data deleted from our database, please fill the corresponding form in the next chapter “What rights you have over your data”.

What rights you have over your data

All users can see, edit, delete or request their personal information at any time.
Website administrators can also see and edit that information.

If you have filled a form on our website,  you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. Finally, you can ask to have the data you provided to us edited. Fill the corresponding form below and we will take care of your request.

 
 

How we protect your data

translation.iau.org takes the security of your personal information very seriously. We take many precautions to ensure that the information we collect is secure and inaccessible by anyone outside of our organization. These precautions include advanced access controls to limit access to that information to only internal personnel who require access to that information. We also use numerous security technologies to protect all data stored on our servers and related systems. Our security measures are regularly upgraded and tested to ensure they are effective.

Here are the steps we take to ensure your data is protected from unauthorized access, alteration, disclosure, or destruction: 

  • Our website is encrypted with an SSL certificate
  • We restrict access to your personal data to only those employees of the IAU-OAO or volunteers of the Astronomy Translation Network who need it to deliver services related to the project (website administrator, Project Manager and Language Coordinators)
  • Servers that store visitor information are regularly backed up to protect against loss.
